Privacy Policy
This Privacy Policy explains how information is handled when you use Kodo Meeting, including its websites, meeting tools, transcription and AI features, integrations, and support channels.
Kodo Meeting is developed and operated by CodLuv.
Who operates Kodo Meeting
Kodo Meeting ("Kodo") is developed and operated by CodLuv ("CodLuv," "we," "us," or "our"). This policy applies to information processed through Kodo unless a separate written agreement applies to your organization.
Information we collect
The information we process depends on how you use Kodo and which features or integrations you enable.
- Account and profile information, such as your name, email address, profile image, authentication identifiers, organization membership, and account preferences.
- Meeting and workspace content, such as meeting audio you choose to capture, transcripts, speaker labels, notes, summaries, decisions, questions, tasks, action items, follow-ups, chat messages, contacts, and files you upload.
- Integration information from services you connect, such as account identifiers and the limited data made available by the permissions you approve. Kodo does not receive your third-party account password.
- Usage and technical information, such as feature interactions, request timestamps, browser and device information, IP address, diagnostic events, error logs, and security signals.
- Communications you send to us, including support requests, feedback, and related contact information.
How we use information
- Provide, operate, and maintain Kodo, including authentication, transcription, meeting processing, search, summaries, and collaboration features.
- Process the actions you request and connect Kodo with services you choose to use.
- Secure accounts and systems, prevent abuse, investigate incidents, and enforce applicable terms.
- Monitor reliability, diagnose errors, support users, and improve product performance and usability.
- Send service, security, account, and support communications.
- Comply with applicable law and protect the rights, safety, and integrity of users, CodLuv, and others.
Meeting recording and participant notice
Kodo processes meeting audio and related content only when a user starts or submits a recording or import. The person or organization using Kodo is responsible for providing notices and obtaining permissions required by recording, wiretap, employment, confidentiality, and privacy laws. Do not record or upload a conversation unless you are authorized to do so.
AI processing
Kodo uses automated transcription and artificial-intelligence services to turn meeting content into transcripts, summaries, and structured items. Automated outputs can be incomplete or inaccurate and should be reviewed before they are relied upon. Content sent to a provider is limited to what is reasonably needed for the selected feature and is subject to that provider's applicable terms and configurations.
Google user data and Limited Use
When you sign in with Google or enable a Google integration, Kodo receives only the account information and permissions you approve, such as your name, email address, profile image, and Google account identifier. We use that information to authenticate you and provide the user-facing features you request.
Kodo's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements: Google API Services User Data Policy.
Service providers and subprocessors
Kodo relies on service providers to deliver infrastructure and product functions. Depending on the feature and deployment stage, these providers may include:
- Railway for application hosting and object storage, Neon for managed database infrastructure, and Cloudflare for domain, network, and delivery services.
- Google for sign-in and user-authorized integrations.
- OpenAI, Google, and ElevenLabs for selected AI, transcription, or speech-processing functions.
- Trigger.dev for background job execution and Resend for transactional email delivery.
- Supabase and Lovable for limited legacy hosting, authentication, or data retention during migration and rollback periods.
When information is disclosed
We may disclose information to the service providers described above; to workspace members and people with whom you choose to share content; to integrations you direct Kodo to use; in connection with a corporate transaction; or when reasonably necessary to comply with law, respond to valid legal process, protect rights and safety, or investigate fraud and security issues.
Retention and deletion
Retention depends on the type of information, account and workspace activity, operational backup cycles, security needs, and legal obligations. Meeting content and account data are generally retained while needed to provide Kodo or until an authorized user deletes the content or account. Diagnostic and security records may be retained for a different period than meeting content.
You may permanently delete your account and associated active-system data through Profile > Danger Zone. Kodo verifies the account email, requires the current password when the account has one, and completes deletion only after you use the signed one-hour link sent to your email. You may also contact us for help or a privacy request. Deletion from active systems may not immediately remove data from backups, security records, or information that must be retained for legal, fraud-prevention, or dispute-resolution purposes.
Security
We use technical and organizational safeguards intended to protect information against unauthorized access, alteration, loss, and disclosure. No storage or transmission system can be guaranteed to be completely secure, so you should use a strong unique password, protect your sign-in methods, and promptly report suspected account misuse.
International processing
CodLuv and its service providers may process information in countries other than the one where you live. Privacy and data-protection rules may differ across those locations.
Your choices and rights
Kodo provides a self-service account-deletion control in Profile > Danger Zone and may provide controls to access, correct, export, or delete other information. Depending on where you live, you may also have legal rights to request access, correction, deletion, restriction, portability, or an objection to certain processing. These rights can be subject to exceptions. Submit other requests using the contact information below; we may ask for information needed to verify your identity and authority.
Changes to this policy
We may update this policy as Kodo, its providers, or legal requirements change. The effective date above identifies the current version. If a change materially affects how information is handled, we will provide notice through an appropriate channel.
